Who is ZaferSign designed for?

ZaferSign supports individuals, growing teams, and organizations with document-intensive work. Common users include legal, finance, HR, sales, procurement, operations, government, healthcare, real estate, and other teams that need controlled document workflows and reliable evidence.

Does a recipient need a paid account to sign a document?

No. A recipient can open the secure request and complete the assigned signing action without purchasing a ZaferSign subscription. Organizations choose a plan to create, send, manage, and retain document workflows.

Can ZaferSign be used from web and mobile devices?

Yes. Senders and recipients can work with ZaferSign from supported web and mobile experiences. Available actions can vary by role, workflow configuration, plan, and deployment.

What is the difference between an electronic signature and a digital signature?

An electronic signature records a person's intent to approve or sign. A digital signature adds certificate-based cryptographic evidence that helps verify signer identity and document integrity. ZaferSign combines signing actions with digital-signature trust and workflow evidence.

Which signing options does ZaferSign support?

ZaferSign supports E Sign for routed multi-party workflows, Quick Sign for self-signing, and Bulk Sign for sending the same document to multiple recipients with individual progress tracking.

How does ZaferSign apply certificate-based trust to signed PDFs?

ZaferSign uses GlobalSign certificate signing from the Adobe Approved Trust List (AATL) to add certificate-based trust to completed PDFs. Compatible PDF readers can inspect the trust source, signature details, and whether the document changed after signing.

Can a downloaded signed PDF be validated outside ZaferSign?

A compatible PDF reader can inspect the certificate signature applied to the completed PDF, including its trust source and document-integrity status. ZaferSign also keeps workflow evidence and certificate-report context connected to the completed record.

Which fields can be added to a signing document?

Workflows can include signatures, initials, dates, company seals, and other required or optional data fields. The exact field set depends on document preparation, recipient roles, and workflow configuration.

Are electronic and digital signatures legally valid?

Electronic and digital signatures are recognized in many jurisdictions, but enforceability depends on the law, document type, consent, identity controls, evidence, and use case. ZaferSign provides signing and audit capabilities; organizations should confirm their specific legal requirements with qualified counsel.

Can signers and approvers be routed sequentially or in parallel?

Yes. ZaferSign supports sequential and parallel workflow steps so organizations can control whether participants act in a defined order or at the same stage.

Can a workflow include reviewers and carbon-copy recipients?

Yes. A workflow can include signers, approvers, reviewers, carbon-copy recipients, groups, contacts, and recipient placeholders. Each role can be positioned according to the document's routing requirements.

What happens when a document needs to be corrected or reassigned?

Send Back can return an envelope to an earlier workflow step with comments explaining the required changes. Delegation can allow another authorized user to act during a defined period. Availability depends on the selected plan and deployment.

Can teams create templates and reusable workflows?

Yes. Templates can preserve recipient roles, fields, routing controls, visibility, password protection, and other reusable settings. Teams can use document-specific, dynamic, user-specific, or bulk-send template patterns.

How does Bulk Sign work?

Bulk Sign sends the same document to multiple recipients while keeping delivery and progress separate for each recipient. It is useful for repeatable, high-volume distribution after any required earlier workflow steps are complete.

Which workflow notifications are available?

ZaferSign can notify users through email, WhatsApp, and mobile experiences for relevant workflow activity. Available channels depend on the plan, user settings, integration, and deployment configuration.

Can teams set due dates, expiry, passwords, and required fields?

Yes. Workflows can use due dates, expiration controls, password protection, required and optional fields, comments, and other controls to reduce incomplete or uncontrolled document activity.

Are AutoSign and MultiSign available in the standard SaaS platform?

No. AutoSign and MultiSign are not available in the standard ZaferSign SaaS platform. They can be considered for suitable on-premises implementations as part of a custom deployment scope.

What information is captured in a ZaferSign audit trail?

Audit evidence can include signer activity, workflow status, step history, timestamps, document hashes, IP context, approvals, sendbacks, reviewers, carbon-copy activity, and completion details connected to the document record.

What is the digital certificate report?

The certificate report provides a reviewable record of document and transaction evidence, including workflow history, signer context, hashes, validation information, and blockchain-backed evidence where configured.

Is the complete document stored on or exposed through a blockchain?

No. In the ZaferSign SaaS platform, customer documents and workflow data are not made publicly accessible through a blockchain. Blockchain-backed evidence can support integrity and verification while access to documents and transaction details remains limited to users authorized for the workflow. Architecture can differ for private, hybrid, and on-premises deployments.

What is Z-Forensics?

Z-Forensics is ZaferSign's patented document-authentication and forensic-review capability. It connects a completed document to trusted original records, document hashes, signer activity, and audit evidence so authorized reviewers can investigate authenticity and possible post-execution changes.

How does permission-controlled forensic verification work?

A person who receives or finds a document carrying a forensic seal can request permission to compare it with the trusted original record. The document owner or authorized workflow participant controls whether access to the supporting evidence is granted.

Can Z-Forensics verify printed or scanned copies?

Z-Forensics can support review of digital, scanned, and printed documents that carry the required forensic seal. The review compares the presented document with authorized original records and evidence rather than treating the printed copy as self-authenticating.

How does identity verification connect to document evidence?

ZaferSign can connect authentication and signer-identity controls with signing activity, workflow history, and completed-record evidence. The exact identity method and assurance level depend on the workflow and deployment requirements.

Does ZaferSign guarantee regulatory compliance?

No software platform can guarantee an organization's compliance by itself. ZaferSign provides controls that can support electronic-signature, privacy, security, and audit programs, including requirements associated with E-SIGN, UETA, HIPAA-oriented workflows, SOC 2, and ISAE 3402 where applicable. Customers remain responsible for legal, regulatory, policy, and configuration decisions.

ZaferSign encrypts customer data and makes completed records available only to users authorized by the organization's access controls and deployment configuration.

Can users retrieve, validate, and download completed documents?

Authorized users can retrieve completed records, review document and process details, validate available evidence, and download completed process documents when needed.

Can customers select an AWS storage region?

Business Monthly, Business Annual, and Enterprise customers can select from supported AWS regions. Regional storage can help organizations align with residency and governance policies, but region selection alone does not guarantee compliance with GDPR, CCPA, PDPA, or other legal requirements.

Can an organization connect its own storage?

Customer-managed storage is available with Enterprise and is planned around the deployment model, security requirements, implementation scope, and organization-defined encryption and access controls.

Is Ally AI included or sold as a separate add-on?

Ally AI is included with paid ZaferSign plans at no additional cost, so teams can use the core document-assistance capabilities without purchasing a separate AI product.

Are customer documents used to train AI models?

ZaferSign states that Ally AI keeps customer documents and data private, does not use them to train AI models, and processes them within an encrypted environment.

Can Ally AI help prepare forms and signature fields?

Ally AI can assist with form auto-fill and field detection to reduce repetitive preparation work. Users should review detected fields and generated content before starting or completing a workflow.

Can Ally AI translate and read documents aloud?

Yes. Ally AI can support translated document understanding and read-aloud experiences, helping users review content across languages and accessibility needs while keeping the document connected to its workflow.

Should users review Ally AI output before acting on it?

Which deployment models are available?

Can on-premises deployments include custom features?

Yes. Suitable on-premises implementations can include custom feature work as part of the agreed architecture, implementation scope, security review, and ongoing support model.

Is there a free trial?

Yes. ZaferSign offers a 14-day free trial with no credit card required. The trial includes Business plan capabilities so teams can evaluate signing, workflows, templates, notifications, vault records, and Ally AI before choosing a paid plan.

Which plans include unlimited envelopes?

Monthly and Annual plans include unlimited sent envelopes. Starter plans have a monthly sent-envelope allowance: 5 for Professional Starter and 10 for Business Starter.

How does Starter plan usage work?

Starter plans are billed monthly with no annual contract. Professional Starter supports 1 user and includes 5 sent envelopes per month. Business Starter supports 1 organization user and includes 10 sent envelopes per month. Draft and received envelopes do not count toward the allowance, unused allowance does not roll over, and customers can upgrade when they need more capacity or team access.

What is an envelope in ZaferSign?

An envelope is a workflow initiated in ZaferSign. It brings together the files, participants, input fields, routing steps, and controls required to complete a signing process. As the envelope moves through each step, recipients can add signatures and other requested information. When the workflow is complete, ZaferSign preserves the digitally signed record with its attached audit trail and Z-Forensics verification token.

How do Business users, Business Signers, and recipients differ?

Recipients do not need a paid license to be included in envelopes, review files, or sign. A Business User license is for people who create templates and workflows, send envelopes, manage organization users, and monitor workflow activity, statistics, and KPIs. Business Starter includes one Business User and 10 sent envelopes per month, while Business Monthly and Annual include unlimited envelopes. Business Signers are optional managed accounts for specific users the organization wants to onboard, administer, and monitor. They do not create templates or workflows and receive no additional signing capabilities, but they receive priority customer support during business hours. Organizations can add up to 20 Business Signers per Business User at $3.9 per user each month with Business Starter or Monthly, or $2.9 per user each month with annual billing ($34.8 per signer per year).

What is the difference between Business and Enterprise?

Business is for teams using ZaferSign workflows inside the standard SaaS experience. Enterprise is for organizations that need APIs, webhooks, custom integrations, custom branding and app white-labeling, regional or customer-managed storage, private cloud, hybrid, or on-premises deployment.

How does annual billing work?

Annual billing lowers the effective monthly price to $14.9 for Professional and $29.9 per user for Business. Professional is billed at $178.8 per year, while Business is billed at $358.8 per user per year. Starter plans are monthly only.

What support is included with each plan?

Professional includes email support, Business includes priority support, and Enterprise includes dedicated support and implementation guidance. Response scope and service commitments should be confirmed in the applicable commercial agreement.

Where can users find product and API guidance?

The ZaferSign Help Center provides product guidance, while the API documentation covers authentication, workflow creation, uploads, process start, filling tags and signing, status retrieval, webhook updates, validation, and document download.
